Privacy policy

Obsidian Custom Designs is operated by CGE Group UK Ltd. This notice explains how we use information when you visit this website, submit a TikTok Business or advertising lead form, or contact our studio by WhatsApp, phone or email.

Who is responsible for your information?

CGE Group UK Ltd, trading as Obsidian Custom Designs, is the data controller responsible for our use of the personal information described here. For a privacy question or request, email info@obsidiancustomdesigns.com, call 07754 457777, or write to our studio at Tavistock Works, Tavistock Road, Yiewsley, West Drayton, UB7 7QX.

Information you provide

Enquiries may include your name, phone number, email address, location, vehicle details and registration, requested service, preferred contact method and the message or photographs you choose to share. Please provide only information needed to discuss your vehicle and the work you want. Do not send payment-card details, passwords or identity documents through the enquiry form or studio guide.

We collect information directly from you through our forms and conversations, or receive the details you choose to submit to our lead form on TikTok. Required fields are identified on each form. You do not have to submit a form, but without suitable contact and vehicle details we may be unable to answer your enquiry or provide an accurate quote.

TikTok Business and lead forms

When you submit one of our TikTok lead forms, TikTok makes your submitted details available to Obsidian Custom Designs so we can respond to your request. Depending on the fields shown, this may include your name, telephone number, email address, town or postcode, vehicle make, model, year or registration, the service you are interested in, preferred appointment timing and any answers or notes you provide. TikTok may pre-fill contact fields from your account; please check them before submitting.

We use these details to discuss your requested service, check suitability, provide a quote and arrange a booking. We may follow up about that enquiry using the contact details and preferences you provide, including WhatsApp, phone or email. Submitting a TikTok form does not automatically send us a WhatsApp message or confirm a booking.

TikTok also handles information under its own privacy policy for the UK and EEA. Both TikTok and our business are responsible for their respective uses of lead information. You can ask us about information held by our business using the contact details above; requests about your TikTok account or TikTok’s separate use of your information should be directed to TikTok.

Why we use it and our lawful bases

We use enquiry information to answer questions, check vehicle suitability, prepare quotes and arrange appointments. Where you ask us for a quote or book work, we use information to take steps at your request before a contract and to carry out that contract. We also have a legitimate interest in responding to general business enquiries, keeping our website secure and maintaining records needed to handle questions or disputes. Applicable accounting and other legal obligations may require us to retain transaction records.

Enquiry follow-ups and marketing

Submitting a quote or contact request allows us to respond to that request; it does not sign you up for unrelated promotional messages. We do not treat acceptance of this privacy policy as marketing consent. If we offer optional marketing in future, we will explain it separately and ask for any consent required before sending promotional emails, texts or WhatsApp messages.

You can ask us to stop following up an enquiry at any time. If you have opted into marketing, you can withdraw consent by replying STOP to a message or contacting us. We may still send messages needed to manage work you have booked.

Website forms and WhatsApp

The quote form sends the information you enter to our website server to prepare your request. If it offers a WhatsApp handoff, you must open WhatsApp, check the details and press Send before the studio receives your message. Preparing a request on the website does not itself confirm delivery to the studio.

WhatsApp is a separate service provided by Meta. Information shared through it is also handled under WhatsApp’s privacy policy. You can contact us by phone or email instead. The studio guide processes messages to provide service guidance; it does not confirm a booking or replace a conversation with the team.

Website technology and advertising

Our hosting provider, Vercel, processes technical information needed to deliver and protect the website, such as requests, IP addresses and browser information. With your permission, the website loads a Google tag for advertising measurement and any connected analytics. This measures visits, video engagement and clicks such as opening WhatsApp; a click is not confirmation that a message was sent or a booking made. Google may process online identifiers, cookies, page activity and advertising interactions. Optional measurement is off until you choose “Allow measurement”. You can change or withdraw your choice using “Cookie preferences” on the website. We remember that choice in your browser for up to six months; refusing does not prevent video playback or contacting us. See how Google uses information from partner sites for details and available controls. You can also manage or delete cookies in your browser.

Links to Google Maps, Instagram, WhatsApp and finance providers take you to services with their own privacy information. Contacting a finance provider directly is subject to that provider’s own assessment and privacy terms.

Sharing and international processing

Information is used by the team handling your enquiry or work and by service providers needed for website hosting and the communication method you choose. Relevant information may also be needed by professional advisers or where disclosure is required by law. TikTok processes information submitted through its forms, while Google, Meta and Vercel process information associated with the services described above. These providers may process information outside the UK. Their privacy information explains the countries involved and the applicable transfer arrangements, which may include recognised adequacy arrangements or approved contractual safeguards. Contact us for information about the providers and safeguards relevant to your enquiry, including how to obtain details of the applicable safeguards.

How long information is kept

Retention depends on why the information is needed: responding to an open enquiry, the period for which a quote or booking remains relevant, carrying out agreed work, handling warranty questions or disputes, and meeting applicable record-keeping obligations. Different records may therefore be kept for different periods. For an enquiry that does not become a booking, the relevant criteria are whether a response or requested follow-up is still outstanding, whether the quote remains relevant, and whether a complaint or dispute needs to be resolved. For booked work, aftercare, warranty and legal record-keeping needs may justify longer retention. TikTok’s own retention of information is governed by its policy; any copy held by our business is covered by this notice. Contact us to ask about the records held for your enquiry or to request deletion where applicable.

Your choices and rights

Depending on the circumstances, you can ask to access or correct your information, request deletion or restriction, object to processing based on legitimate interests, or request a portable copy. Where processing relies on consent, you can withdraw that consent without affecting earlier lawful processing. Some records may need to be retained to meet legal obligations or deal with legal claims. We may need to confirm your identity before responding to a request.

Your right to object: you can object to our use of your information based on legitimate interests. You can object to use for direct marketing at any time, and we will stop that marketing. Use the contact details above or reply to our message.

You can raise a concern with us using the details above. You also have the right to complain to the UK Information Commissioner’s Office at ico.org.uk.
